    Hi Karen,

    I wanted to follow up on this as I just realized where that is showing up. I can see how this might be confusing how we reference the example format as mailto:name@domain.com . However, we do allow all different types of extensions like .net, .org, .edu, .gov etc., and I will check into having that clarified.

    Thank you all for adding to this discussion. Well, it looks like we have come full circle since I posted this back on May 7, 2012.

    We have added a Shared Documents area to GLM. This is where administrators can upload documents and then they can give access to those documents to either Staff Evaporators or Board Members or both. The documents that might be included but are not limited to are:

    •Minutes from previous board meetings

    •Agenda for the upcoming meeting

    •Monthly Financial Report

    •Executive Directors Report

    •Etc..

    Please let us know if you have further questions on one of the latest new features in GLM.

    Hi Karen,

    You bring up an interesting point. We do have comments that are stamped with the administrator's name, the date and time in the request summary page and the organization summary page. Either of those areas would be the best place to track that type of information currently but I will also bring this up to the Product Team for discussion.

    Hello Greg and Bob,

    It looks like I am way behind on weighing in here...Bob is correct in that the Board Member role allows access to Search Decisions where an auditor would only have read only access.

    Also, with the addition of the new Shared Documents area in which Administrators can upload documents and give permission to either Staff Evaluators or Board Members or both you would be able to upload year end reports or any other documents for review.

    We will also continue to explore the possibility of adding what might be considered an "Admin Lite" role for visibility type purposes.

    Hi Jim,

    We've done some additional testing on this and we were able to pull the exports with the special characters appearing correctly. We tried this on a PC and an iPad.

    I'm not sure if anything has changed for you but I thought that I would double check to see if you are still having these export issues.

    Hi Greg,

    You bring up some great questions. Regarding the submission date you are correct and that there is not currently a field in export data for the submitted date. In talking with one of our developers it is a difficult date to isolate based on the fact that there can be multiple submitted dates for a single request. For example, if an application is submitted by an applicant and then an administrator marks that application as not complete and therefore, the applicant needs to then correct or clarify something on the application and then resubmit there would be at least two submitted dates associated with the request.

    In doing some further testing on this I confirmed that if you sort the Application Submitted or Application Completed page, as you noted, by the Submitted date by clicking on the Submitted header this will sort the applications in order of their last submission by date and time. You can then copy and paste the list into excel and update your file numbers.

    As far as the default sort. If the organization name is displayed on the page then the default sort is alphabetical order by the organization sort name.

    I hope this information helps but please fee free to add another comment for further discussions.

    Thank you all for posting to this discussion and I have some great news!! We have email archive capability slated for the next release into GLM which is 3.8.0. You will be receiving updates on the timing of this release but I anticipate this going into the demo environment no later than the beginning of August.

    Thank you for posting your messages to the Discussion Forum. We do have plans to incorporate email audit or archive capabilities most likely this year and we will keep you all updated as we get closer to having this available.

    Regarding the spam problems that some of you are experiencing. Over the past few months we have made some configuration changes to the email settings to help alleviate this issue. The problem is that we have no control over the spam filters that are set up by email hosting services. During our research we have come across a few tips to try and help avoid having emails appear as spam. Here is a short list of possible issues:

    1. Having URL's or web site links included in the body of an email.

    2. Having one email message going to several email addresses can cause emails to go to junk mail.

    3. Starting an email with "Dear" can also cause emails to go to junk mail.

    We will continue to research this.

    Thank you, everyone, for sending us your input on this important matter. It is definitely on our list of future enhancements.

    In the meantime, in one of our more recent releases we included the Bcc field on all email templates. Therefore, until we are able to attach correspondence to a specific request you can at least keep a record of your outgoing emails.

    Hi Kristin,

    There is one other way that you can reference the last modified date and that is to click on the project name link and then check the date in the Application Process Status Box. The date displayed there will be the last time the request was modified either by the applicant or the administrator.

    You bring up a good point in that you can only see the date that the status changed and not the most recent date that the draft request was accessed.

    I'm posting this requested enhancement on behalf of Laura Kurzrok.

    Hi All,

    It would be so helpful if I were able to choose the data that appears on the Organization Summary Page. For example, it provides the date of the grant, but we don't use that date and would much prefer to use a date we have as a custom field.

    Additionally, before the request is decisioned, it would be very helpful to see the amount requested field.

    By bottom line, it would be great to make this section "customizeable"!

    Hi Sally,

    This is in response to your post on February 1st.

    You can assign as many follow ups as you would like to a grant. You can assign them when you are approving a grant or you can go back into your granted list and add additional follow ups as necessary.

    Any active follow ups that you have built in your site will be available to you once you have approved a grant.

    Sorry for my delay in responding to your post.

    We are currently working on a Reports Beta face lift. A few of the items as well as others that we are working on are:

    1. The ability to deselect columns under the layout tab instead of having to manually un check those boxes.

    2. A possible option to filter by certain criteria prior to pulling back data. Just as you have alluded to above.

    There is a lot that goes on behind the scenes with these changes so I'm not sure when these changes will be available. Stay tuned for more information.

    Hi Joan,

    Thank you for posting a message to the Idea Lab.

    In Export Data if you deselect the box at the bottom of the first column "All Columns" this will deselect all of the columns and therefore, you can then select the ones that you want.

    In Reports Beta there is not currently a way to deselect all of the columns when you click on the Layout button. However, once you have created a report with the columns that you want visible then you can save that report so that you don't have to pick and choose the columns each time you want to pull that report.

    Thank you for posting to the Idea Lab.

    I think I understand the situation but let me know if I'm off track.

    Yes, the instructions are there so that you can change them from one process to another as appropriate. Keep in mind that once a process is created then any edits to the reports fields whether it's changing a label, instruction etc. will need to be made in that specific process. If you are changing the instructions in a particular process then those instructions will change across all stages of the process.

    If you happen to change the instructions in the report field templates as opposed to a specific process those changes will not transfer into processes that have already been created but would show up in any new process that was added.

    I would be happy to give you a call to discuss this in more detail.

    Hi Mary,

    In the next release into production, scheduled for July 17th, we have added back the dots in the password fields to show that a password does exist. Also, when logging into the software as another user through the Users link, when you search for the user be sure to check the applicant box under roles and then you will be sure to pull up the correct email address.

    We will be posting the complete list of information included in this release within the next few days.

    Also, if you completely close down your browser session it should clear the login error. If that does not work please be sure to let us know by sending and email to mailto:support@foundant.com .

    Hi Sally, if I understand correctly, it sounds like you want to be using the LOI Evaluation stage in the software. Therefore, instead of having a separate LOI process you would have a process that includes the LOI, LOI Evaluation, Application, Eval. 1 and Eval. 2.

    I noticed that there is a process in your demo site that includes the LOI Evaluation stage. The process name is Sample Process with LOI Evaluation. I noticed that there is not a process in your production site with this stage but we can have that added to your production site if you would like.

    I would be happy to set up a call to discuss this with you in more detail.

    Hi Shirley,

    That's a great idea to post the instructions for setting up automated emails.

    Here are the steps as well as a link to the complete details:

    1.Create your email template.

    2.At the bottom of the email template there will be a drop down box that says Email Notification Events.

    3.Select Submission Verification, Form Submitted, Evaluation Pending, or Follow Up Reminder. •Submission Verification notifies Applicants when they submit an LOI, Application, or Follow-up to verify that it has been received.

    •Form Submitted notifies Administrators when applicants submit an LOI, Application, or Follow-up.

    •Evaluation Pending sends an email to the Evaluators telling them there is an application waiting to be evaluated in their site.

    •Follow Up Reminder sends an email to the Applicant telling them they have a follow up due in two weeks and they need to login and complete it.

    4.Select Auto Send and Active.

    5.Click Save.

    Hi Kristy,

    Thank you for posting a request in the Idea Lab. You are in luck, the software has this capability. In the email templates you have the option to set up a template as an automated notification that is a submission verification. Once the template is set up the email will automatically send to applicants and grantees when they have submitted a form (LOI, Application or Follow Up) in the software.
