  1. Many clients have fiscal years that are not calendar years. We need an easy way to set the fiscal year (e.g. 10/1-9/30) and be able to use this to filter list views.

  2. In the Message Queue, the “To” field currently displays the user’s current profile email, not the email address that was actually used when the message was sent. When a user updates their email address, historical messages appear as though they were sent to the new address, even when they were not. This makes it impossible to reliably determine which email address received a message at the time it was issued.

  3. Currently, only emails generated through system processes (e.g. workflows) are visible in the Message Queue. Emails sent directly from an application are not logged in the Message Queue or Sent messages.
    This creates inconsistency in how communication is tracked within the system.
    For us (administrators), the Message Queue is an important tool to monitor and review outgoing emails. When emails sent from records are not included, it is not possible to verify whether an email has been sent correctly or to review the content.

  4. In our Grants and Fellowships programmes, we require our candidates to link their application to publicly available publications, papers, etc. as to build the State of Art, Methodology, etc. of their project.

    Currently SmartSimple supports some Publication search engines natively (Scopus, Web of Science and PubMed as far as we are aware).   5. The Dynamic Field Visibility Builder could be expanded to include the following:
    • a larger window
    • an expandable window that scrolls
    • auto-zoom that allows the text on the screen to be readable at all times

The ability to export the custom field list from L1, L2 or L3, users, orgs or any system object, with settings such as mandatory toggle, description, select values, and including the role, status, and type permission settings, into Excel, or the ability to build a report builder report where you can customize the settings to be exported.   7. I learned recently that files that have been uploaded to records via file upload custom fields can not be extracted using the new Data Extraction API. I can see clients wanting these files included when extracting records into other business insight tools, AI or otherwise.

  8. Problem:
    Internal users must individually review applications to determine their current approval stage (first approval → second approval → payment generation → payment approvals → paid). No at-a-glance visibility into bottlenecks.

    Suggestion:
    Implement a visual step-indicator (progress bar or workflow timeline) showing where each application sits in the approval pipeline. It will be impactful to improve workflow visibility, for both internal approval users and external applicants.

It is critical and imperative for our work that the ability to choose different email addresses when using Email Templates/Group Email is implemented again (in the deprecated personal email settings). This has a major impact on the work that we do. We rely on this feature quite heavily. Without this feature we need to email stakeholders manually, which is taking a step back for us.

  10. Transfer field formatting (dates, numbers) when exporting list views and reports to Excel.

    Adding this functionality would greatly improve Smartsimple's usability.
    Often, the fields in list views and reports are date or number fields and when exporting to Excel (xls, xlsx, csv, etc.), these formats are not transferred, requiring subsequent editing of the generated files.

  12. Implement a global search feature that enables users to search by grant name, user name, or organization name. When a user is searched, the results should include:

    A direct link to the user’s profile

    Links to all organizations the user is affiliated with

    A list of all grants associated with the user

    This enhancement would streamline navigation and improve access to relevant information across the platform.

    This search may be surfaced in the header and should take advantage of the OpenSearch work being done to ensure the fastest performance.

  14. When exporting a reporting that includes rich text fields, the export includes unrendered HTML. This HTML then needs to be stripped out to make the content of the report readable.

    Suggest to add an option on the report and list view export to strip html from the export. Include a tooltip to advise that this will impact formatting.

  15. The system will automatically timeout sessions for users at the interval specified on the Security page, or sometimes earlier if there is an error. There is an automatic timeout notification that pops up immediately before the session times out, but it would improve user experience and accessibility to be able to configure a notification with more time before the timeout, so that the user could have a chance to save their work. It would also be nice to be able to customize the notification message.

  17. If you load a list view and go into a record on the 3rd page, when you come out it reloads back to the 1st page and you lose your place when reviewing a lot of applications. Can it go back to where you clicked onto the record please.

  18. Request: Can the SSO default authentication error message be updated, perhaps by client instance? Is there any way for users not to hit a dead end but be nudged towards the correct behaviour?

    Context: Logging in on the SSO “happy path” works well (users follow directions and know if they already have registered with SmartSimple or not). These users do things in the right order: Users click the Create an account button if they have not previously registered in SmartSimple, or they click the Log in button if they have.
