API - Download files from other platforms
We have recently build an integration with our eSign provider (not natively supported by SmartSimple), using workflow tasks to send the contracts for execution, updating signee data on contracts already sent to the eSign platform, and monitoring via a Scheduled report the current status of the contract once per day.

New AI Analysis Compare Question X on the Level 1 (grant) with Question Y on the Level 2 (report)
For the new AI Analysis Tool, can we ask it to run Level 2 analysis based on Level 1 objectives and deliverables? For example, compare Question X on Level 1 (grant) with Questions Y, Z, etc. on Level 2 (report) and tell us whether the grantee has met their deliverables over the course of 4 quarters? The returning answer could be valuable as yes/no, but it will need to give us details about the evidence behind its selection.

Allow the "Interaction" user interface to send emails to selected contacts using the group emailer.
Why have "email" as an interaction type if you can't actually create, select, store or reference the email within the user interface?
Use case: Our Finance staff wants to initiate an email conversation about unspent grant funds with an organization. The easy way would be to create an Interaction, use the "Email" type, and have it open an email template they could add subject line, body, and attachment(s) to, then select the "To" options from the "Contacts" specified in the Interaction. We are targeting an Outlook integration in an upcoming release. This will allow a user to create and store an email in SmS from Outlook. The additional scope for this idea is to support the same process from SmS to Outlook.

Replace Hashtags with Hierarchy-Based Categories and Sub-Categories
Hashtags are a nice way to simply categorize records in SmartSimple. I think we can deliver more value if we can provide a UI for setting a hierarchy of categories and sub categories that allow you to categorize applications and also add any number of related sub categories as well.
It would also be nice if this could be an AI-based feature that allows for automatic categorization dependent upon the application data. Categories and subcategories should also be addable to list views and reports.

Report management
Improve the list view in the reporting module so that the listview is more like the advanced search list views on UTAs and can be configured locally. It should allow sorting and filtering on whether export is enabled, Category, UTA association etc

Update historyof function - FIELDNAME is brittle

When using this function, I have to configure with status names. Example from WIKI:
@HistoryOf(Status::[Value]='Approved'::Update to [Value] by [UpdatedBy] at [UpdatedTime]::[UpdateTime]::desc::1)@
This is a brittle approach (as this is the caption / front end field name). I'd love the ability to pass the statusid as opposed to status. Even backend field (name) would be better than the caption

Status Colours
In SmartSimple, list views apply defined status colours to a field showing that dataset's own status, but when a list references a status field from a parent or related dataset (as seen with "Application Status" pulled onto the Activities list), the colour formatting doesn't carry over, the field just renders as plain text regardless of its assigned colour. This creates an inconsistency where the native "Status" column is colour coded but a referenced status from a related record isn't, even though both represent the same type of field.

Media Library - Sub-Fields
We had been using Sub-Fields to add / edit Properties of material uploaded into the Media Library, and these fields are available to the applicant to enter using the "Edit Properties" button. These fields are commonly missed as there is no true way to make it mandatory. As such, we frequently would annotate the field and send it back to the applicant for them to complete.
After the June 2026 release, the applicant is no longer able to Edit Properties under the "Revision" application status, as they had previously, they can only edit these fields under the "Draft" application status,…

Enable other users to delete from the Message Queue without making them Global Administrators
SmartSimple should allow to enable other user roles to delete from the Message Queue without making them Global Administrators. This way other users will be able to delete emails that they accidentally triggered so that they won't be mistakenly sent out.

Delegation / Emulation
The emulation is available to all internal staff (including the Staff role), so we can emulate any other user, but only with view permission. But when we want to use the delegation for the Staff role, it only has view permission, so the delegation is of no use in this case. Also, we do not want to give edit permission for emulation to the Staff role. We'd like to have the option that when delegating, the edit is possible, so the delegate could perform tasks as the delegator behaves. French punctuation spacing
In French, there should be a space between a preceding word and a colon. For example, "Last name:" in English would be translated as "Nom de famille :"
However, when I add a space after "famille" in the translation field, the system does not save it and places the colon right beside the word famille, e.g., "Nom de famille:".
How do I get the correct punctuation in French with a blank space before a colon?

The ability to batch update Notes
It is possible to batch update for status, institutions, associated contacts (etc), but it is not possible to do it on Notes.
Is there something I am overlooking? :)

Integration with Outlook
I just saw that there is now an option to log an email activity, but it would be helpful if that email could trigger an actual email form that could be linked with an application.

Expand popup for annotation replies
The annotation reply is quite small if you had a multi paragraph write-up that needs to be edited/annotated.
We would greatly value for an ability to expand annotation reply size (field value specifically). Yes, you can change the field length from bottom right corner, but that's quite restrictive for a multi paragraph reply

Autoloader Validation
When the autoloader runs, it currently loads the data as it receives it as long as the data matches the field format. We are experiencing ongoing challenges because users are uploading data files with the Autoloader that do not meet our business rules and cause issues to downstream systems. Is it possible to add a feature that allows us to define validation rules for an autoloader file? so we can reject the data before it is loaded into SmartSimple?

Replacement of Google reCAPTCHA with a more privacy-friendly alternative
At the moment SmartSimple does use Google reCAPTCHA v2 or v3 as a security measure on the system. The use of Google reCAPCTHA however raises privacy issues since Google uses the data (IP adresses, Browser and device, user info, cookies) for own purposes. Google collects more data than is neccessary for the functioning of the reCAPTCHA. The use of Google reCPATCHA v3 raises even more privacy issues since in v3 Google continously analyses online behaviour and users are not aware anymore that their online behaviour is analyzed.

Org and Contact Profile Verifications
Currently to have any sort of verification process on org profiles and contact profiles being up to date one has to use statuses and workflows to push them back and forth and this is the best practice for verifying these are up to date when submitting an application.
Many clients request the ability to check whether these have been updated recently by the applicant as part of the application submission process. It would be nice if there was a way to enforce that applicants confirm their org/contact profiles are up to date without having to configure statuses. Similarly with the…

Disable formulas on end-state statuses
For each formula, we need to configure in formula syntax the statuses that the formula shouldn't run on. It would be incredibly valuable to have end-state statuses control the formula access.
Save draft (on record or triggered through batch update) will trigger formulas inadvertently on end-state statuses like "Approved", "Complete", "Finalized", "Closed", "Paid" unless configured onto each formula
