  1. When we process annual distributions, it is a compilation of recurring grants and beneficiaries. While recurring grants can have a grant advisor assigned to it in perpetuity, a beneficiary cannot.

We want a beneficiary to be able to have a grant advisor drop down just as recurring grants do. This will allow us to honor our fundholder's intentions to share their information with grantees and not cause us to have to individually mark and update each beneficiary grant each year, which creates so many opportunities for mistakes.

We were initially recommended to use a grant alert on the fund that…

    3/31/2025:Idea Lab Live:

Funds: Added the Grant Advisor field to Grant Beneficiary table on fund. This will allow users to select from a list of fund advisors for the fund to complete the grant advisor field on spendable grants upon creation. This field will be a limited list of fund advisors on the fund.

Grants: Updated spendable grants to allow for the grant advisors to be populated from the fund record in the Fund Beneficiary table. When creating spendable grants, the field will populate on the table for users to review before processing the grants. Users will be able to remove and then edit the grant advisor from the grant new bucket.

Fund Advisors: Updated internal grants to send donation notifications to the fund advisor, if the Donation Notify checkbox is enabled for the fund advisor. Prior to this release internal donation did not send notifications to the fund advisors.…

  2. I would like an option to complete multiple grants all at one time, but not ALL grants. Our organization utilizes this function to track when our organizations have submitted their completed grant reports on how funds were used. We process grants and two different types of scholarships. We don't need grant reports for scholarships so I want to mark them complete right after processing them. Right now though this is an all or nothing feature from what I can tell so I have to manually go into each grant and complete it because I don't want to bulk complete all…

6/5/2024: Summit Idea Lab-Enhanced the Paid bucket in Grants to a custom report to allow for filtering options. This will also allow for the ability to select grants in bulk or individual grants to move to Complete bucket.

    No Permissions Changed.

  3. In the new portal, the permissions are such that ANY advisor listed on a fund can edit a recurring grant, even if those advisors dont have any edit permissions on the fund. In the old portal you needed GrantReq permission to edit, but that is not the case for recurring grants in the new portal. Please consider not allowing anyone with any fund access to edit recurring grants, and instead, restrict access to those who create the request or others as assigned specifically.

12/5/2024:Grants: Enhanced the Grant buckets with the ability to bulk set decision dates. Users will see Edit Decision Date in the left hand menu within the New, Approval, and Voucher buckets. Selecting the Edit Decision Date will open a list of grants and a date selection field. The date entered will then apply to all or individual grants based on the users selection of all or selecting individual grants from the list.

  5. When creating a recurring grant, it would be much more efficient if certain fields were available to be initially populated. These include the grant advisor, the grant letter template, the grant type, service area, any custom fields, as well as the grant award letter template. Otherwise, these need to be populated every time the grant occurs each time, causing additional work.

10/12/2023: Grants: Added the ability to add a Grant Advisor to Recurring Grants on creation or edit.  This will allow foundations to create Recurring Grants with an Grant Advisor in the backend, instead of having to login into the Fund Advisor portal.  Recurring Grants will now populate the Grant Type, Template, and Service Area once the grant has been created. Grant Type and Service Area will populate from the Grantee Record and if there aren't any from the Fund Record. Any Grant Custom Fields will still need to be completed on the created grants.

  6. For the clients that are using decision date on the grants & scholarships without having GLM or SLM there is no way to set the decision date via the front-end imports. It would be beneficial to be able to import into this field with the front-end imports to allow for efficient processing of grants & scholarships. As it is right now once those records are imported the decision date has to be manually updated 1 by 1 in CSuite.

6/17/2024: Grants: Added Decision Dates and Check Memo fields to the grant import template.

Scholarships: Added the Decision Date field to the Scholarship import template.

Vouchers: Added the Check Memo line to the Voucher import template.

  7. It would save time and be more efficient if households could be added to the list of drop-down advisors when creating grant requests. Currently, I have to search the individual profile, at times the fund profile, to see if there's an associated household. Then, I have to copy and paste the name into the search bar or type it in. This can take up considerable time if CSuite is running slowly as usual.

It would help improve workflow and reduce margin for errors if households could be added to funds as options for grant advisors.

All fund advisor profiles will be included in the drop down if they are set up as fund advisors and associated with a fund. Simply set the household as a fund advisor without any login information and it will become a dropdown option.

  8. It would be helpful to have donors acknowledge and confirm with a required checkbox before submitting a grant to confirm that the grant they are submitting is not to be used for Non-Eligible Grantees.

Meaning grants cannot be made for memberships, fulfillment of legally binding pledges, tickets to events, or anything else that provides benefits to the fund holder.

We have several donors that submit grant requests where this is unclear and we have to call and confirm. This checkbox would allow them to acknowledge and call us if any questions about the grant's intention come up.

  9. We need more than one way to find recurring grants, specifically have recurring grants listed on the fund's record. For example if a donor calls and asks what recurring grants they have set up, I am unable to go to their fund record and see their recurring grants. There is not even a field or button that identifies they have a recurring grant. I have have to go into recurring grants and then filter or do an F lookup. Stewards have no easy way to see who has a recurring grants in their portfolio.

  10. Create an alert or an email notice to donors when they have a recurring grant that is about to end, so they can set up a new recurrence if they choose. Right now, recurrences just end without notification and unless we run reports to follow-up with donors, they may not recall that they set an end date.

  11. It would be most helpful to see notes to staff when viewing listed grants on screen. Some notes include details needing immediate attention in regard to the timeliness of processing the grant recommendation. As of now, the only way to see these notes is by selecting each one individually and checking to see if there are any notes. Even when a report is created, it does not include all notes for some reason. And the report only applies after the grants have been moved to the New bucket.

    This was released on 2/28/2024:

Notes: Added the ability to share a note. When adding a note, users will see a new checkbox: Share. This will allow users to share a note with the different personas on the Portal. This functionality is complete in the backed of CSuite but NOT completed on the Portal. Currently, if a user shares a note on a grant it will display on the the grant record in the Fund Advisor portal, but no other notes will appear in the Fund Advisor Portal.

  12. Recurring Grants

We have the option to save a file attachment to a recurring grant that is created. However, the attachment does not merge/carry over once the grant is created. It only remains on the recurrent grant, which is not helpful when the documentation is needed on the individual grant level as well. Please consider allowing important documents to be attached with grants that are created from the recurring grant list.

  13. Please enable a checkbox to decline or STOP the creation of a grant document. Many of our internal grants do not need a grant document created but we have no way to turn these off. It add several extra steps to delete the letter which is not applicable.

  14. When creating spendables where you have added a grantee beneficiary to funds. Can you please allow Fund names to be listed for users to select "By Fund" and not by a Group? Creating spendable by a group or groups makes it very confusing to work with as so many grants appear in the Grants/New bucket at the same time.

  15. When creating a grant in Csuite, the grant letter template field just displays "edit". Even if a fund has been assigned a template in system data, there is no way to know what grant letter will pull. If a template has been assigned, it would be nice if that template name displayed in the grant under Grant Letter template.

It is possible to sort the recurring grant list based on any of the columns.  The list currently sorts by id, to turn it "off", click on the column until the arrow disappears.  Then click on the header of any of the other columns to sort by that column.

  17. Currently when an advisor requests a grant we have four staff members who receive the notification email about the request. However, the email only includes the advisor name in the notification. Is it possible to have the notification include the grantee and amount that is being requested?

  18. The new process to download grant letters in bulk as word document currently has the Batch ID, CheckID, Vendor, Document (grant letter) and Amount. Please add a field to include the date when this batch was created. It's helpful as to not send duplicate grant letters from weeks ago.

  19. Hello, recently we noticed that in the grant catalog if a donor clicks the donation button and a recommendation goes through the donor portal, the internal grant does not pick up the organization's name that they are donating to. If we process a grant manually through "add funding" it does appear the organization's name and purpose. Can we get these to match and show the organization name and purpose for our records?

  20. Anytime you process a grant, we noticed that the pay schedule and funding information would all of sudden disappear from the grant and we would have to reenter the information. Apparently, when you select an item from the 'grant cycle' drop-down before post/approval, it erases this data because it assumes you are using a 'grant catalog.' Why isn't that field called 'grant catalog' if that is actually what it is referring to? Since that field is called 'grant cycle' we have been using it to track what internal cycle that grant is associated with. Why are these labels different? And…
