  1. When creating a recurring grant, it would be much more efficient if certain fields were available to be initially populated. These include the grant advisor, the grant letter template, the grant type, service area, any custom fields, as well as the grant award letter template. Otherwise, these need to be populated every time the grant occurs each time, causing additional work.

    10/12/2023: Grants: Added the ability to add a Grant Advisor to Recurring Grants on creation or edit.  This will allow foundations to create Recurring Grants with an Grant Advisor in the backend, instead of having to login into the Fund Advisor portal.  Recurring Grants will now populate the Grant Type, Template, and Service Area once the grant has been created. Grant Type and Service Area will populate from the Grantee Record and if there aren't any from the Fund Record. Any Grant Custom Fields will still need to be completed on the created grants. 

  2. We need more than one way to find recurring grants, specifically have recurring grants listed on the fund's record. For example if a donor calls and asks what recurring grants they have set up, I am unable to go to their fund record and see their recurring grants. There is not even a field or button that identifies they have a recurring grant. I have have to go into recurring grants and then filter or do an F lookup. Stewards have no easy way to see who has a recurring grants in their portfolio.

  3. It would be helpful to have donors acknowledge and confirm with a required checkbox before submitting a grant to confirm that the grant they are submitting is not to be used for Non-Eligible Grantees.

    Meaning grants cannot be made for memberships, fulfillment of legally binding pledges, tickets to events, or anything else that provides benefits to the fund holder.

    We have several donors that submit grant requests where this is unclear and we have to call and confirm. This checkbox would allow them to acknowledge and call us if any questions about the grant's intention come up.

    4/19/2024: Fund Advisor: Added checkbox in Fund Advisor Settings: Grant Request Confirmation Text. This will allow users to enable a confirmation checkbox for the grant request workflow in the fund advisor portal.  With this enabled, Fund Advisors will not be able to process the grant request without checking the box to confirm request. This is an open text box that users can enter the grant eligibility language for their foundation. 

  4. Create an alert or an email notice to donors when they have a recurring grant that is about to end, so they can set up a new recurrence if they choose. Right now, recurrences just end without notification and unless we run reports to follow-up with donors, they may not recall that they set an end date.

    This was released on 3/18/2024:  

    • Donations: Added new content areas for Recurring Donation reminders: Recurring_donation_reminder_body and Recurring_donation_reminder_subject. These new content fields will need to be completed to use the automatic reminder emails for Recurring Donations. Recurring Donation Reminder Days in Donation Portal Settings will need to be entered.
    • Donations: Added Recurring Donation Reminder Days in Donation Portal Settings. This new field will allow users to select a number between 7 through 90 days to have the reminder email to send automatically. Donation content fields will need to be completed prior to email sending. By entering a 0 in this field, this will disable the emails.
  5. It would be most helpful to see notes to staff when viewing listed grants on screen. Some notes include details needing immediate attention in regard to the timeliness of processing the grant recommendation. As of now, the only way to see these notes is by selecting each one individually and checking to see if there are any notes. Even when a report is created, it does not include all notes for some reason. And the report only applies after the grants have been moved to the New bucket.

    This was released on 2/28/2024:

    Notes: Added the ability to share a note. When adding a note, users will see a new checkbox: Share. This will allow users to share a note with the different personas on the Portal. This functionality is complete in the backed of CSuite but NOT completed on the Portal. Currently, if a user shares a note on a grant it will display on the the grant record in the Fund Advisor portal, but no other notes will appear in the Fund Advisor Portal.

  6. Recurring Grants

    We have the option to save a file attachment to a recurring grant that is created. However, the attachment does not merge/carry over once the grant is created. It only remains on the recurrent grant, which is not helpful when the documentation is needed on the individual grant level as well. Please consider allowing important documents to be attached with grants that are created from the recurring grant list.

  7. Please enable a checkbox to decline or STOP the creation of a grant document. Many of our internal grants do not need a grant document created but we have no way to turn these off. It add several extra steps to delete the letter which is not applicable.

  8. When creating spendables where you have added a grantee beneficiary to funds. Can you please allow Fund names to be listed for users to select "By Fund" and not by a Group? Creating spendable by a group or groups makes it very confusing to work with as so many grants appear in the Grants/New bucket at the same time.

Hello, recently we noticed that in the grant catalog if a donor clicks the donation button and a recommendation goes through the donor portal, the internal grant does not pick up the organization's name that they are donating to. If we process a grant manually through "add funding" it does appear the organization's name and purpose. Can we get these to match and show the organization name and purpose for our records?

  11. Anytime you process a grant, we noticed that the pay schedule and funding information would all of sudden disappear from the grant and we would have to reenter the information. Apparently, when you select an item from the 'grant cycle' drop-down before post/approval, it erases this data because it assumes you are using a 'grant catalog.' Why isn't that field called 'grant catalog' if that is actually what it is referring to? Since that field is called 'grant cycle' we have been using it to track what internal cycle that grant is associated with. Why are these labels different? And…

  12. We need someone without permissions to edit checks to be able to delete the new automatically created grant letters. Permissions to edit checks are limited to our Finance department but it is our Grants Manager who would edit a grant letter if needed and would need to be able to delete the automatically generated and attached grant letter. We would much rather have the grant letters be able to be deleted from the grants permissions as that's where they are created. Even if that means deleting it from multiple grants.     Grants/Scholarships: Enhanced the grant or scholarship record with the option to delete grant/scholarship letters. Enhanced the grant/scholarship letters to print in alphabetical order. Renamed the left hand menu item within document bucket, from Send Documents to Process Documents Vouchers: Added the create checks option back to the left hand menu. Templates: Added the ability to disable grant letters when using a check template that has the grant letter on it. This is a new checkbox on the check template No Grant/SShip Letters.

  13. Our foundation recently started using the grant catalogue publicly, meaning that it is going to have many projects added to it that public donors will be searching to fund. Currently, the view is not very user friendly and write ups appear in a very small column that is difficult to sort through for a user.

    I'm proposing introducing a "Card View" where you can show 2 or 3 cards per column, and each card has information like:
    - Image
    - Organization Name
    - Project Title
    - Short Description (short excerpt from the full description)
    - Request Amount
    - Amount Funded

  14. It would be nice to have the option to correct grant letters in a Word doc batch like we used to have. The pdf option is nice, but it requires having perfect fields and templates. Our small foundation could benefit from the option to spot correct.

  15. I'm (finally!) loving the new process for generating grant documents (e.g., letters that we send with checks). Our Fund Advisors ask for copies of those letters to be uploaded via the portal so that they see exactly what the charity sees when the check arrives. (It also gives them comfort that we actually sent the check.) Currently, I scan each letter and attach it as a shareable PDF at the grant level. Now that the system automatically attaches the letter at the grant level, it would be great it I could simply mark that as shareable without having to upload…

Currently, recurring grants only have the advisor field populate when the request is created through the donor portal (which is great!), but if we create a manual recurring grant, there is no way to set the advisor on the recurring grant level, and still have to manually edit this on each occurrence. It would be great to have the advisor field on the recurring grant record itself that would carry over to each occurrence.

  17. There should be a way to include all funds a grant came from (multiple funds). We can set the total grant amount; but if it's coming from multiple funds, it will only pull one fund name. Currently, we have to edit it in Word. We have many grants that come from multiple funds, so this is very time consuming. If we can do this on a check voucher, it should be able to be done in the letter.

  18. We now use NTEE coding for our grants. We would like to go back and bulk update historical grants with the same coding. We know the NTEE code of particular grantee organizations, so it would be efficient to be able to bring Grant ID and Org ID into the table for more efficient bulk updates.

    Example: YMCA always has the same NTEE coding for their grants. I would like to update all of the YMCA grants with the NTEE code in bulk.

  19. It would be nice to be able to assign a grant type and service area to the grantee record.
    Currently is assigned through the fund, but funds often support multiple grant types, so it makes more sense to assign the grant type based on the grantee and what service they provide.

  20. Looking forward to the new functionalities in December! However, PLEASE allow batches of grant letters in .doc format and not just .pdf. We have to tailor letters regularly and doing them piecemeal would be terribly inefficient, especially with this being new and at the busiest time of the year.
