  1. We would like to ensure that the check memo line is being populated in the NACHA files for grants. Right now, we have to copy over the grant descriptions into the check memo line once they make it to the voucher module. For regular vendor vouchers this is not an issue because we are manually entering this data, but when it comes to grants the description is only copied to the reference number. However, the NACHA file pulls in the check memo line for bank payments which means that our team has to copy over the description for each electronic…

  2. When working with Endowment Funds we have to remember to calculate the spendable balances for the fund each year. It would be great if Csuite allowed you to set a date that spendable balances were automatically calculated for you.

  3. When you go visit an organization's page in C-Suite, it would be great to show a list of GLM submissions that you could click to open the PDF, much like the list of grants can open the individual grants. These could be arranged by date, so you could easily see the most recent.

  4. Add organization name as a column in the charity check log to more easily confirm that the right Tax ID is in the profile. Right now, if you need to confirm that a grantee has the right Tax ID on file, you have to run a new charity check.

  6. In recurring grant records, the Delete button is directly beneath the Edit button. It's easy to click it mistakenly, and there is no secondary confirmation screen to confirm the deletion was intentional before it's done. Please add a secondary step to confirm a record should be deleted to avoid accidental record deletion.

  7. As a large foundation, we believe the proper way to manage grant approvers is by allowing specific users authority at the fund level. More specifically, this is almost always based on Fund Group, SubGroup, Division, or Segment. It’s very difficult to manage this, though. When assigning approvers, you have to manually choose each fund they can approve, one by one. There’s no way to filter the list of funds, and there’s no batch update function. Other than being time consuming, this can lead to certain funds being missed when making changes. In addition, there are times when all grant approvers…

  8. Enable entry of Grant Type on Refund Grants to ensure accurate grant reporting. This will allow grants to be correctly grouped by Grant Type in reporting. Currently, capturing this information requires manual adjustments in Excel after exporting the report.

  9. Can a process be created where we can upload in bulk internal grants? Each year there are many funds in Community Suite that transfer funds to our Grant Making fund. It would be quicker and easier if this were able to be completed with a CSV upload instead of having to do all the steps of an internal grant multiple times.

  10. Recurring grants are not automatically added to the main grant bucket when they come due, whether monthly or annually. Instead, you have to manually open the recurring grants section and move them over yourself. This creates a risk of missing scheduled grants, especially if you only have a few. Automatically moving recurring grants into the main grant bucket at the appropriate time would prevent these oversights.

  11. When sending grant award letters via Email - please create a function to auto-populate the non-primary emails into the cc fields. This would save so much time and not require staff to remember and manually add ccs each time. Alert notes don't even show up in the Email Grant Documents area so there's not an easy way to be reminded of who needs to be cced. There should be an option to automatically include more than just the primary email. Please also add any cc emails sent to the log of the grant and profile. Currently only the primary email…

  12. It would be helpful if the sandbox feature that prevented anyone but the creator of a grant from approving the grant was turned off.

I struggle to understand why would preventing other people from posting my grants help in training?
If the intent is for a user to be able to approve their own grant, CSuite offers a togglable setting that provides for this. Hard coding sandbox to prevent any user other than the creator of the grant from approving the grant is an un-necessary restriction.

In reality it, prevents users from testing their internal control environments. It also requires…

  13. Enable the 'CC' field in Grant Document emails to automatically populate using the email address labeled 'CC' in the profile. This is currently done manually but automating it would save staff time. Referring to Grant Documents> Process Documents> Choose Batch> Email Documents.

  14. When fund advisors use the guide star search, when staff process the grants in the new bucket all they can see in the new grantee field is the name and that it was from guidestar search. Often times, even though the guidestar search was used, we actually already have the grantee in our system. Our grants manager has to make the new grantee, compare it to the one in our system, and if it already exists then delete the new profile, and change the grantee in the grant. It is a lot of steps to take. When we see the…

  15. We need a way to reserve incoming grants from the request bucket to an individual staff member, because we have two people who work on processing DAF grants, due to large volume. Ideally, we would “reserve” multiple grants at once, and no one else would be able to edit these grants, even while they are in the “new” bucket. Once they move into the “approval” bucket, we would “unreserve” them so that they can be batch vouchered together. This would avoid duplication of profiles and grants themselves. Since more than one staff member is working on grants at once, sometimes…

  16. Add the ability to set the Grant Documents Template and mark Omit Grant Documents to multiple grants via the Bulk Action tool.

Currently, you can set the Grant Award Letter Template and set Award Letter Needed (or not) but cannot do the same for the Grant Documents.

Side note - it would be beneficial to have the language for Grant Documents be consistent throughout the system. When in a grant, it's Grant Documents Template, but when in the Templates section, it's "grant_letter".

  18. Adding a field for the check number in the grant award letter Templates.

Due to the high volume of grants processed weekly, it’s very important to ensure timely donor recognition and to streamline the process for recipient organizations. Currently, it can take up to 10 days between the award letter email and the arrival of the check via USPS. This delay makes it difficult for organizations to connect the award letter with the check when it arrives.
Additionally, we’ve received multiple requests from grantee organizations particularly in cases where checks from the same donor are issued in the same amount.…

  19. The notes that are automatically saved to grantee profiles when a grant award letter is sent do not include emails that were cc'd, nor is the attachment included. There is a link where a file could be attached, but it gives me an error and I don't want to have to manually attach grant award letters to each note on a grantee profile anyway.

When emailing grant award letters from CSuite, we have added a note in the Other Detail field on grantee emails that they are for grant notifications, but this detail isn't available as a field to pull…
