Visual Step-Indicator for Application Workflow Stages
Problem:
Internal users must individually review applications to determine their current approval stage (first approval → second approval → payment generation → payment approvals → paid). No at-a-glance visibility into bottlenecks.Suggestion:
Implement a visual step-indicator (progress bar or workflow timeline) showing where each application sits in the approval pipeline. It will be impactful to improve workflow visibility, for both internal approval users and external applicants.See proposed design attached.

Personal dashboard configuration
When configuring a personal dashboard, you currently need to choose a list view that already has a filter applied. As a result, each conditional summary requires its own dedicated list view with a matching filter, which significantly increases the configuration effort.
In a previous portal configuration release, we introduced the ability to select list views and filters independently. This allowed users to reuse existing list views and apply different filters as needed, reducing duplication and simplifying setup.
I recommend extending this same flexibility to personal dashboards. Enabling independent selection of list views and filters would reduce the number of configurations…

Management / Administration - Visibility on System List Views
System administrators cannot see where list views are set across the portal / dashboard. This creates a time consuming and tedious process where administrators need to tab through each list view on a dashboard to see where it's exposed before making a change.
Example:
1 list view is configured for 3 different portal components. Good suggestion, we are targeting some improvements around list view management, this could be considered as the next phase.

Ability to delete/cancel declined invitations.
It is not currently possible to delete/withdraw an invitation if it has been declined.
This causes confusion for some of our applicants, as they don't want the record of the declined invitation included with their submission.
I understand it may be useful to retain that data in some instances, but it's not even possible for a system admin to remove these at the moment.

Allow upload fields on an L1, L2, or L3 to automatically be transferred to the associated organization or contact record.
Allow for a field or file that is uploaded on an application to be automatically transferred to the associated organization or contact records. Currently we manually move W9 files to the organization record for easy access by all internal users.

Allow URLs to be opened from Notes
We are currently using the Notes feature to add instructions to reviewed reports in order to allow for replies between reviewers and grantees.
Often times these notes will include links to support documents. While these URLs appear as hyperlinks, when clicked they open within the SmartSimple UI and are blocked.
I suggest automatically adding the _blank target to all URLs added to notes to allow them to be opened directly.

Tables in PDF generation
When generating an application summary, tables don't format properly. There's no way to control table column size. When you have more than 8 columns, longer field names get compressed to two characters. This makes no sense because these are the longer ones. For example, if you have columns with numbers and then a comments field, you can't increase the width of the comments field to make it readable.
4 votesWhen generating PDFs from web‑based application data, tables are rendered within a fixed page width and rely on automatic column scaling. When a table contains a large number of columns (such as 8 or more), the available horizontal space is divided across all columns, which can cause headers and values, particularly those with longer content, to become compressed.
While it is technically possible to influence table and column widths through more advanced configuration using custom CSS, this approach is fragile and difficult to maintain. PDF rendering engines often interpret CSS inconsistently, and small changes to data, labels, or page layout can easily break the formatting. As a result, this custom configuration solution is typically not reliable enough for dynamic application data and may introduce ongoing maintenance challenges, making it impractical for many use cases.

Invitations - Ability to register new user under same org as Owner
While in an active SmS session, we can pass "&uselocalcompany=1" to the User Signup page URL to allow a new user to register under the session/record organization.
A similar variable/approach is missing when we send a Invite (Invitations Feature) to a new user, and the Signup page URL (Acceptance Redirect) is accessed outside an active SmS session.
Currently, if we want to invite a new user within the same Org on record, we have to configure an Org and User signup page. The new user will have to search and select the Org, and then fill in the User details…

System Filters Availability to non-Global Admins
Currently, non-Global Admins can only view Personal filters on UTAs/People/Org Filter dropdown. They can see and select the system filters on a list view.
Requesting an enhancement to make the system filters be role permission-based (Example: "Search Filters and Email Templates - Manager") and remove the global admin requirement.

Hide columns in the global user lookup list view
Add the ability to hide specific columns in the global user lookup list view settings. This would allow admins to include fields (e.g., a unique ID) in the lookup view so users can search by them, without displaying those fields in the list view.
- Go to Global Settings
- Users > Lookup List Views
- Edit the default user lookup list view
- Select a column and add a toggle button to “Hide Column” here (similar to List views)

Thanks for the clarification, this is a valid use case. Today, the lookup list view for users is global (i.e. configurable, but will be the same view for all users). One option would be to offer more flexibility to support more dynamic list views with conditions to support this use case. This would be an enhancement. We will monitor interest to revisit this priority.

In the T2P project when you are going to assign users the system should display Global Admin users who have User Access. Nowadays system shows all Global Admin users (with or without User Access).

Allowing address field's caption customized when 'Enable Multiple Address' is enabled
Currently: When 'Enable Multiple Address' is enabled (on org or user profile), the Address field's caption remains locked to "Primary Address"; updating the standard field caption for Address or Address Type doesn't change it.
Use Case: Client might set a different default address type, such as "Mailing Address" (which they can configure in Address Types), and they want the caption to display as Mailing Address.
Request: To allow the address field caption to be customized when using the Multiple Address feature.

Expand popup for annotation replies
The annotation reply is quite small if you had a multi paragraph write-up that needs to be edited/annotated.
We would greatly value for an ability to expand annotation reply size (field value specifically). Yes, you can change the field length from bottom right corner, but that's quite restrictive for a multi paragraph reply

Add resolved status to annotations dataset
Would be really useful to be able to report on whether or not annotations are resolved, as then you could use the report property to create SmartCheck validations and/or have fields display conditionally based on if there are any unresolved annotations or not.

Version comparison report
To quickly compare field differences between two versions of fields in a UTA for a specific level (L1 or L2): Be able to generate a list/report/printout that lists only the fields where there is difference between the two versions. Bonus if it includes what the difference is. This would be kind of like the "Diff" button on custom fields, but it would provide a list only of the fields where there is a difference.

Allow Group Email on Program Manager Cycles
We need to use the Group Email functionality on the Program Manager > Cycle level to easily communicate with grantees within a certain cycle.
