  1. We currently configure SMTP relays for clients who wish to send email from their own domains.

    However, it is often challenging to work with client IT teams to enable SMTP AUTH on the required mailboxes.

    In these situations, we are frequently asked whether SmartSimple supports — or plans to support — integration with Microsoft 365 (Graph API) or Gmail API for outbound mail delivery.

  2. Sys admins can search across workflows and tasks, but we can't search against / see connector IDs.

    Project based T2P lets you see the workflow IDs that have been updated, but there's no traceability to the connector ID when looking at a connector in wf.

    At a minimum, I'd like to see the connector ID on the connector itself. Even better if I can search against a connector list to see what was updated

  3. I've recently seen great improvements to the grantee user experience when I've utilized the Linked Record List Custom Field "Simplified Association Interface" toggle for Contact Associations, but this option is not currently available for Organization Associations as well as some other list types.

    Please consider adding the "Simplified Association Interface" option for Organization Association list types, as well as all other list types, if possible.

  4. Enable users to link directly to a report when it has been created. This would be incredibly helpful when working collaboratively. Currently we have to describe which folder the report is in and provide a unique ID so they know which report to access. It would be so much easier to send a direct link to the report.

  5. Better integration of captions/details on image files and videos to support assessment portfolio style content.

    We current use an advanced data table to collect portfolio specifics (such as medium, description etc.) and use media library. This is cumbersome for assessors (who mostly use laptops) and review applications in split screen. Issues include:
    -challenges reviewing both table and image in split screen (small, challenging to navigate both). Would be better if info was combined in some way
    -advance table columns can't be expanded width-wise and don't auto expand lengthwise so it is visually challenging to review longer pieces of text

  6. When using the scheduled export report option I can add multiple users to the export but they all receive separate emails and are not aware of who received it. Support recommended we create a distribution list and use that but unfortunately that is not an option for us.

  7. Reporting tool doesn't (at least based on what I can see) thread conversation so you can see replies in one string in report output. We would benefit from a thread for all replies so you can order/sort by that field

  8. Problem: Platform upgrades often introduce breaking changes with limited advance notice. Release information typically arrives too close to the upgrade window, leaving insufficient time to assess impact, migrate customizations, and test integrations. This results in avoidable production issues and reactive support tickets.

    Key Gaps:
    Release notes are usually available only 2–4 weeks before upgrade
    Non-prod/backup instances are upgraded too close to prod
    Release notes are large and hard to filter for relevant breaking changes
    Opening a support ticket is the only way to get clarification

    2. Share preliminary / upcoming release notes 2–3 months…

  9. Add Deny View Version feature for Dynamic Field Visibility Control field (see attached file).
    Currently we have to remind which DFVC fields we have and if there is a condition in version feature every time we set up a new submission manager version. This is vey annoying because we have a lot of DFVC (more than 100) and we need to check one by one to add the new version.

  10. At the moment SmartSimple does use Google reCAPTCHA v2 or v3 as a security measure on the system. The use of Google reCAPCTHA however raises privacy issues since Google uses the data (IP adresses, Browser and device, user info, cookies) for own purposes. Google collects more data than is neccessary for the functioning of the reCAPTCHA. The use of Google reCPATCHA v3 raises even more privacy issues since in v3 Google continously analyses online behaviour and users are not aware anymore that their online behaviour is analyzed.

  12. We need the ability to upload new files after previous files have been removed through the data retention policy. To support this, it may be necessary to introduce an additional retention option—for example, an option that removes the file/data but unlocks the field for new uploads, as opposed to the current setting that simply removes the file/data.

    A typical use case is annual reporting, where applicants are required to submit fresh documentation each year in the same report. In these scenarios, the field must be cleared according to retention rules, but still remain open for new uploads moving forward.

  13. It would be helpful if "Lookup - Organization and People" field type could be updated via workflow task. Currently, If you try to add this field in an "Update custom field value task" you get a message "Not Records Found".

    In a process where an organization is moved to a specific status and some fields are updated via workflow, it would be nice to also be able to update the "Lookup - Organization and People" ones.

  14. The font and text size used in the system-generated email with the subject “Confirm Your New Email Address” are not consistent with the formatting used in other system-generated emails. A fix related to this issue is scheduled for the February release as part of the ticket referenced below.

    Given this, could we introduce a configuration control for this email template—similar to what is currently available for password-reset and new-user emails? Having this control would allow us to adjust the text and font formatting as needed to meet branding or client requirements.

  15. At present, the settings for user emulation do not allow for granular role-based permissions. For example, there is no feature to restrict which other roles a user role can emulate. It would be incredibly useful for our staff to be able to emulate grantee user accounts. Unfortunately, we currently cannot enable this feature for them, as it allows them to emulate all other roles which includes higher-level users.

    Something like "Roles this role can EMULATE" (reference attached image) would be incredibly useful.

  18. We would like to propose that SmartSimple develops support for SCIM 2.0 (System for Cross-domain Identity Management).

    We're moving towards automated provisioning and de-provisioning of users directly from Microsoft Entra ID (Azure AD). SCIM 2.0 is the industry standard protocol for this purpose, and is already supported by Entra ID as well as most modern identity and access management systems.

    Efficiency: Automating user lifecycle management reduces manual administrative tasks and minimizes delays in onboarding and offboarding users.

    Security: Automatic de-provisioning ensures timely removal of access when people leave the organisation, reducing the risk of orphaned accounts and potential breaches.

  19. It would be nice to have a single place to manage all translations: User Roles, Types, Status, Standard Fields, Custom fields, Submit Buttons, Tasks, List Views, Portals, Shortcuts...
    1) See, per language, existing translations and which translations are missing
    2) Batch delete of translations
    3) Export, per language, all translations in a single Excel file, reimport the same file with updated translations
