We have had this happen many times over the years, and thankfully applicants will get in touch and I simply explain what the system does. Changing the x to a check mark might be nice, saving a phone call and needless worry for an applicant.

Thanks Chris, it is helpful to understand the current limitations. If this can be planned within the next year, we would be very happy.
Thanks for taking the time to explain.

I have noticed this lately as well, which the system did not allow in the past. How/when did this change? I hadn't had an issue with this until I tried to deny a request and the system made me make the changes necessary to meet the character count limit requirement to deny...never used to have this issue!
Please fix, or at least explain what/how/why.
Thank you.

Yes! This would be wonderful, it would help us as we see many organizations with several applicants applying while another grant is active. We had wanted to also "flag" an organization for this reason as well. I set up that post here: https://community.foundant.com/foundant/topics/_flag_an_organization
If there is a way to have a notification for any applicant starting a new application under an organization profile, to be notified that there is an active grant for the organization, this would help us in our tracking as well. We would likely want to still flag an organization if we do see two applications come in, so the different program officers can evaluate the best course of action.

I want to put my thoughts in on this too, as I see there are a couple of conversations about the batch approval step being requested.
I don't know if others are using the Approval Draft step, but it makes sense to me that once you have the list of your Approvals in Draft, you should then have the option to Batch Approve in the batch options toggle. Perhaps there is supposed to be another way to do this?
I can explain my steps in the approval process if this helps?...
I do a lot of the preliminary work for the approval of requests while the request is in Approval Draft. Once the list is finally approved, then I just want to batch approve and be on my way. Not sure if others work in this manner, and if not, perhaps I need some other ideas...my first thought was just Batch Approve from Approval Draft. (Thanks for adding that step by the way!)
Is this a possibility, or do I need to change my method?

We would want this too. Even though all organization contacts can see the Request profile, the Grant Follow Up is not viewable at all. We need the follow up packet to be available as a pdf download.
While it doesn't happen a lot, from time to time we do have applicants from the same organization that will need to upload the previous follow up as part of an application, but at this time the Foundation staff need to develop the pdf to give it to the other organization applicant, as this is the only piece they cannot see in the Organization History.
I can't think of a reason why this would be hidden from view? Please make this a possibility! Thank you

Oops, I meant to say that we store the request in the "Complete" section after submission. If it went through an evaluation we might put it in "Closed" -just to clarify on that!

We have this issue occasionally. When this happens we essentially "store" the request in the Closed section, but we would like to have a way to flag the request as well, so we know why it is in the Closed section.
We haven't considered having a "Hold" area before, which could work as well. -

I would really appreciate this option- as we can develop specific letters based on Process, it seems we should be able to group them in folders on the Templates screen.

I think we could definitely use some evaluation reporting!
We have been looking at ways to develop some sort of secondary evaluating as well, and are interested in how this could work even within the LOI process.
Also, we are evaluating on several hundred LOIs at once, and it would be wonderful
to have a report that pulls a list of assigned evaluations for a staff
evaluator (or board member or whomever).
I have tried and failed to get
that as a report -besides just viewing on screen. If this could be a piece of the evaluations reporting as well, it would help us tremendously. -

Hi Chris!
We typically look up by the Organization's address, so this would be our preference. We like the simplicity of the Requests & Decisions with the Quick Export features, it pretty much provides everything we need and then some.
Also, we look up by city and state to get a quick glance at organizations we have funded in an area when we are doing some comparisons during reviews.Let me know if you need more details, or clarifying on our use for this feature. Thanks for looking into this!
Best,

I was looking around to see if other similar requests had come up on this topic, and the nearest is the Archiving Organizations topic.
We still would love a feature that can help us identify organizations that might be needing special attention. One of the purposes of "flagging" is we may tell an organization to take a break from funding, but would be allowed to apply again after several years. The archiving could work I suppose, but I have concerns on moving an organization into such a status.
Another issue that comes up is relating to our budget restrictions, and as we do renewal funding we are often finding organizations become close to reaching these restrictions, and would like to note that somewhere very clearly. The idea of a "flag" for this seems ideal. https://www.dropbox.com/s/hfadn1yq1sqai2k/Flagged%20Organization%20Images.docAn error occurred while saving the comment Dana Jeffery commented
I just knew you would ask these questions :)
I am curious if others would find this useful, and how they might want it set up.
For me, even as a start, if we had the flag be something you might see next to the organization name when you do a search, that would be great. That is what had come to mind when I thought of this feature. Or, if suitable, a flag could appear anywhere you see the organization name - even on the Organization View.
In terns of how many types of flags, I was thinking like Microsoft Outlook, there are different color categories and you can set a color for a category, even change the name to set a custom category. That could be asking too much within this system, and I would be fine with just a single flag, that you could click on or off as needed. It would really only be used by an Administrator, at least for our purposes.
I can think more about how I might envision the usage, and get back to you, but this is my thinking for right now. Would love to hear if anyone else might find this useful!

We refer to the "LOI" as a Pre-Application, so it would be good to be able to have this stage be changed to Pre-App. We do see there is confusion with applicants wanting to submit a "letter" or asking where the upload for the letter is.

I love the ideas offered here! I have been manually compiling history for each organization, and copy that into a report field that we built into the application, so that our board has that information as they review.
We do not see that creating bias or swaying decision making, it's better for them to have a bigger picture of the organization's competency.
The tricky part is, it may be difficult to capture Denial comments - right now I also manually go in and review the denials and paste those comments into the History report field. Not sure how you could pull that information for the "in-page lightweight view"...

I just experienced an issue with a merge, and wanted to see the details of when the merge occurred, by whom, and the organization's original address details, alas we cannot see that.
This would be something we could use, but it may not be used often. Not sure if it could be set up like the Status Change Log- but within the Organization Summary?

I am curious how this will look, if for each stage of the process we would have a separate line for Denied, or if it would be something at the very bottom of the Dashboard that sits alone?
We use evaluations for LOIs and this is sometimes our only point in which we might look at Denied lists, if it were represented in each stage of the Dashboard this *could* be interesting.
We deny literally hundreds of LOIs a cycle, and if this was going to show a history to the end of time, I can't say that this would be good for us. If it only represented Processes that are Active (not archived processes), that might be okay.
I just don't think I would want for the Denied status tally sitting alone at the bottom of the Dashboard, because then we would have to go in to look and see at which point the request was denied. Does that make sense?

Love the feature, it's working beautifully! Thanks so much :)
While I can't see the image very clearly, I am guessing it is a view of applications in review that are from a stage in Open Requests on the dashboard, because we have this problem also.
Previously when reviewing applications in these lists, you would be returned to the top of the list in review. Now it seems to direct you to the bottom, which is not ideal when you are reviewing hundreds of requests. Using the "page up" button on the keyboard is now starting to break! I would love to see a Return to Top link also.
