    I spend a lot of time every year on this. I have to track down all the incomplete follow ups from orgs who have had turnover. Then we have to add the new person, and spend time re-assigning all the processes and forms that belonged to the previous person. Having an automatic backup would be one way that might mitigate this problem.

    Hi All, 

    Today in reporting you could get part way to this report by adding the Submission Assignee Fields. You would then group by this field and have on report for all evaluators that could filter on.


    However, leaving this in feedback needed because there are definitely ways we can look at streamlining this functionality with or without reporting.

    YES! Every time I struggle to create a report that makes sense for evaluators and it's very cumbersome and I often give up as it just is too complicated and takes too long. A template would be very welcome and help streamline that workflow at a time when we all feel stressed and crunched to get things ready for these evaluation meetings.

    I think this would be a great way to engage the committees and help them see the outcomes. Also I want Committee members to be able to see the follow ups as well as Board members. This is a real downfall of the software that only Board members can see them and it's even hard for them to find it going through Requests & Decisions.

    To add to what I said earlier, I don't think it would be necessary for the reviewers (Board, staff or Committees) to do a full evaluation of the follow up, but it would be good to have them check a box that indicates if they consider the follow up commitment fulfilled or not and to make comments if they want more information. It would be good to track who is seeing the reports and creates accountability for the committees/board and helps to track outcomes.

    I too think this would be a wonderful way to give the Board/Committees access to the follow ups for any given process. Then if they have their own questions they can refer back to the application and review each and we can also be sure they are seeing the follow up.

    To follow up, I don't think these reports need evaluation, because for our Committee members/Board purposes they are only informational and there would be no action required.

    I like Mike's idea. A toggle for reviewers to see the follow-ups would be so much easier. The work-around we're doing now is to make the applicant upload their previous year follow-up report to their current application. This is turning out to be a total nightmare, as most of our applicants are NOT tech savvy enough to navigate the system to do this and it's making them crazy and ME crazier troubleshooting the how to's with them. There must be a better way.

    I would like to add that it is definitely important for a Board member or Committee evaluator to be able to see all the completed follow-up reports for the processes they have reviewed. They need to see not only the follow-ups from an organization that is submitting a new application but those who have not applied again as well. I hope this is helpful.
    Many thanks for the consideration of this much-needed refinement of the workflow for staff. It will alsp improve our outcome assessment if our Board members and committee evaluators can read for themselves the reports of grantees about the good work they are doing.

    I like the idea of being able to assign the follow-ups to Board members/Committee Evaluators rather than giving them blanket access. And only to completed ones...not draft..
    It would be good to be able to selectively assign the follow-ups. I would also like to give them a comment field so they can make notes for themselves and staff if they think additional follow up or more info is needed.

    I too would like an easy way for Committee Evaluators to be able to see previous year follow up reports within a particular process so it can inform their current grant cycle decisions. Is there an easy way to do this? They do not all have Board member access either and I don't really want them to.

    Yes! I think I also submitted a question about this. It would be great if it was optional to include it, but it would be SO helpful to the evaluators to see the outcomes of the previous grant. Pretty please!
