It would be very helpful to have an additional status between “Application Submitted” and “Application Complete.”
Our organization manages more than 300 scholarship opportunities, and when a student submits an application, the system automatically tests their responses against the eligibility rules for each scholarship. However, if staff discover an error while reviewing the application, correcting it becomes a complicated process.
Currently, we must re-test the applicant to determine whether they still qualify for the same scholarships. If the corrected information changes their eligibility, staff then have to manually remove or deny those scholarships. This creates additional work and can be confusing for applicants if they log in and see scholarships listed as “denied” that were originally shown as eligible.
Because we review a high volume of applications, this process becomes very time-consuming and increases the potential for staff error.
It would be extremely beneficial if eligibility testing occurred after staff complete their review of the application, rather than immediately upon submission. Having a status between “submitted” and “complete” would allow staff to verify or correct information before the system runs eligibility rules, which would significantly streamline the workflow and reduce unnecessary steps.
Another potential improvement would be for the system to automatically re-run eligibility testing whenever staff update or correct an applicant’s responses. In that case, the system could automatically remove scholarships the student no longer qualifies for and add any new opportunities they may now be eligible for based on the updated information. This would eliminate the need for staff to manually re-test and adjust eligibility, saving time and reducing the likelihood of errors.
