We use internal fields to note whether an LOI has been reviewed by the assigned program officer and program manager. Having those value copied when an applicant copies a previous request messes up our workflow, because any copied requests will immediately show up as having all reviews completed.

Would you need multiple levels of folders or would one level be enough?

Multiple levels would be ideal, but even one level would be a big help.

Or maybe allow for tags. My email templates could potentially be filed in multiple folders; tags would solve for this. I.e. I might tag a template with both the process and the form it's used with: #LatitudeFund, #Application, #ReceiptConfirmation. This way it will be included in a search for all emails with any of these tags.

Right now when I configure automatic emails to send an email To Adminsitrators (when Submitted), I'm having to check names of both of our program managers. For our advanced license, I'd like to have that list also include the Grants Manager that a Request is assigned to. That way I have the option of having the notification sent to specific named individuals, and/or to whoever is assigned to the Request. It's a lot of junk that's getting sent to our program managers' in-boxes that seems like could be avoided. Of course, I suppose an issue could arise if a Request record is not assigned to a grants manager; maybe in those cases have GLM send its own email to the primary admin alerting them that there is no Grants Manager assigned to a Request to which an email was set to be sent to the Grants Manager.

And I agree w/Chuck - we should be able to pull Request ID into merge docs. It would be a very useful piece of data to include in our grant agreement cover sheets. Would be useful, too, in email templates, and applicant details we can opt to have included at the bottom of an automatic email.

I didn't know about the trick of hovering at the bottom of the screen when in a Request record. I tried it, but the Request ID displayed there is very different from the one I get in reports - it's a nice 7- or 8-digit number, as opposed to the 32(?)-character, multi-part string of letters and numbers I get in reports. 🤔 Although above the "Request ID = xxxxxxx" line when hovering, there is a long string of numbers and characters, but they don't match what's in the reports I pull. 🤔🤔🤔

We are continuing to understand the needs and workflows for emails that need to come back into the system.
What providers are people using?
Are there emails other than responses to system messages that need to live in the system?
If an email was sent in relation to a request, example for submitted, where would you want to view that email from?
Any thoughts are very helpful

I'm assuming Tanya meant "so too should be"... I just discovered the same issue that Tracy mentioned - I'm developing a process right now for a new fund that hasn't yet been announced and created our first-ever eligibility quiz. I made the process restricted, assuming that the eligibility quiz will only appear if the applicant has the access code. Yikes! I was wrong, and am worried I've inadvertently let the cat out of the bag. I recommend that if an eligibility quiz is only associated with a closed or restricted process, the quiz should not display on the Apply page. It should only display when an applicant is assured of being able to apply if they pass the quiz - either there's a process that is open that the quiz is tied to, or they have entered the access code for a restricted process that's tied to a quiz.
