Archive Orgs
I would like to archive organizations that we will most likely not grant to in the future. I know I can archive older processes, and would like to do something similar with organizations.. It would be helpful to be able to click on Organizations and get a full list of only current/active orgs. Perhaps if there where another search criterion to select any organization assocated with a certain process - at least I could get the list narrowed down some.

This should now be in production as part of the 4.3.0 release.
Thanks again for the suggestion and the various feedback. I hope that our eventual implementation meets everyone's needs.

This is in our Demo environment. Our next release should be this week, at which time this will be in production and I'll mark this as "Implemented."
Thanks,

We are working to add this in our next release (4.3.0 targeted for later in March). It will work similar to the archiving on the Process List page - you will be able to archive and restore organizations. There will be no impact other than that archived organizations will show up in a box at the bottom of the screen. For this cut of the feature, you will not be able to merge or export data from archived organizations on the Organization Search page.

I would use the archive feature, not just for organizations we are unlikely to grant to in the future but also those that have closed/dissolved. Is there another work around besides the ZZ that you would recommend for the organizations that no longer exist?

Hi Pat and Jeff,
Thanks for providing additional input. Unless I'm missing something - which could be the case - it seems the only place this has a direct impact is on the "Search Organizations page. Given other priorities, this is probably not something we will be addressing in the near-term. As a possible work-around, it might be worth editing the "Sort Name" of an organization you wish to archive to start with a ZZ or something so it shows up at the bottom of the results in the case where you are viewing all organizations.
As we address higher priority features and get more feedback from other users on this suggestion, we'll continue to evaluate its priority.
Thanks again for the suggestion and please let me know if there's something I'm not considering.

Hi Pat,
Thanks a bunch for the detailed (and quick!) responses to my questions. I wish I could add things to Foundant GLM as quickly .. if you have any kind of software development experience, let me know :-)
Given your feedback, I don't see any big obstacles to implementing this functionality. The biggest thing I'd LOVE to see / hear is feedback from other folks on our conversation so far. It's pretty easy for me to envision adding this to GLM, but what is admittedly more challenging for me, since I don't use the software in a "real" sense, is to really be able to consider potential negative impacts, if that makes sense.
So that said ... I will bring this to our Product Team with your ideas. Until we are able to get some feedback from other users, though, this will probably not be on our short-term roadmap. I really want to avoid doing something that makes sense to a handful of clients but adversely affects a majority ... I don't think this fits into that category, but some additional feedback would help!
Thanks again for getting back to us, and please let me know if anything I've said needs further clarification

Hi Chris, Thanks for giving this some careful consideration. To address your questions:
1. Searches: Would prefer to have "Include Archived Organization" checkbox AND have the results include a column to indicate which organizations are arcfhived.
2. To archive an organziation, all requests for that organization should be closed, abandoned or deleted. (a error alert indicating the org can not be archived because something is open/pending would be helpful).
3. I do not see a problem with an archived organization being able to access the site to view their old grants. However, if we specifically deactivate a particular user, then that user's access should be denied. Maybe someone who has more history with this sort of thing could give some feedback? Do you know if anyone has ever had a problem allowing or preventing access?
4. Regarding reports, data export etc: Yes, all requests associated with selected processes (via the process filter option) should be listed in the report even if an organization has been archived.
Thanks!

Hi Pat,
Thanks for the suggestion, and thanks for noting a couple things that could help.
In regard to archiving organizations, that is something we've heard a bit, especially as clients get more and more history (and thus data) in Foundant GLM. Couple questions about your vision for this change:
1. How would search be handled? If nothing was entered as search criteria, would only non-archived organizations be returned? And if search criteria were entered, would any matching organization - archived or not - be returned in the results? Or would there be an explicit checkbox to say "Include Archived Organizations"? Or would archived organizations always be returned, but just be kept within an accordion container at the bottom of the search results (similar to how Archived Processes are handled)? Or would it be nicer to have a column in the results to indicate if an organization was archived or not?
2. Are there any situations or conditions under which the system should not let you archive an organization (i.e. if you were still waiting for follow-up reports or any requests were not in a Closed / Abandoned / Deleted status)?
3. Would users belonging to archived organizations continue to be able to access the system and apply, etc.?
4. In regard to data export, reporting, etc., I'm assuming you'd still want archived organizations to show up in historical reports, etc., correct?
Thanks again for the suggestion and I look forward to hearing your additional feedback
