(Updated 3.0.0) Hiding old processes and forms
After a few years of building multiple processes and forms, my Process Manager and Form Builder have become clutered with old items. I understand that these are necessary to keep for historical data purposes but I would like to hide them if possible. Steps could be as follows:
Archiving:
1) Click Form Manager
2) Click Configure Applications (LOI's, Evaluations or Follow Ups)
3) Click the check box next to the form(s) I wish to archive then scroll to the bottom and click a button that says "Archive."
a) WARNING pops up confirming my decision, and then I confirm and the form(s) is archived
Un-Archive:
1) On the same page as all my applications, there is a box labeled Archived Applications at the bottom
a) I can open this box and a list of all the archived forms display (similar to the Advanced Options box)
2) I then check the boxes next to the form(s) I want to move back and click "Un-Archive"
a) A WARNING pops up to confirm my decision. I Agree and the selected form(s) are moved back.

I actually thought for a little while that the process posted April 15th 2011 by Gant Elliott actually worked. After trying to make that work for 20 minutes I see now that it is just a suggestion for some modification in the future.

We've been using the system for some time now and thus have lots of old forms--LOIs, applications, and follow-up reports. I've learned how to cope, but it would be great to be able to clean this up and have only current forms listed. It would be particulary useful to have only current follow-up forms listed when your attaching the follow up to the grant. The most recently created seem to be at the bottom of the list, but I still find myself reviewing the whole list each time I'm working on follow ups. Also, although I've tried to document everything, I shudder to think of someone having to take over working with GLM and all the forms and processes that are listed without me standing by her/his side. I'm delighted the planning is under way.

Thank you for your thoughts on this issue. We have begun working on a spec to address this issue. I hope to be able to spell out our thoughts on how to fix this for everyone. There are a few issues we need to consider about archived forms. Do they show up as available forms to use in Process Manager? Can they be copied? Can they be archived if there is a process using them? In regards to Follow Up forms, what if they are still assigned to grantees?
When we have a product spec finished, I will have it posted to this comment thread so you all can read it and provide feedback. While I would expect this functionality to be available in 2012, I want to make clear it is not currently being developed, just planned. However the planning of the product spec is the first and the most important step to bringing this functionality to the productions system.
As usual, Thank you all for your participation and thoughts. They do help us make Foundant GLM better and more useful for all.

I like this idea as well. I don't like clutter...and that's what it feels like when the list is long. We are just starting and with all the changes we have made I have a long list in both processes and forms and we aren't even live yet!

We are in the same position as we work with many clients - it would be great to be able to sort it somehow and clean things up. Also, when looking at an organization's history, it would be great to have the process name in the grid so that we know what we're looking at without having to click into the various applications until we find the one we are looking for.

We have 56 different scholarship applications and they are listed by year so being able to hide the old process or at least have the most current year at the top of the list would be a great help. Is this going to be available any time soon?

What about having the ability to group processes by year (preferable for us) or some other category. For example, we could have all the processes for 2011-12 (current year) all grouped together. After the year is over, we can contract the box so only the 2011-12 Processes title shows.
The same thing can be done on the Status page for applicants. We have some applicants that submitted lots of applications, and if we were able to group the applications by year in a contractable/explandable box. it would be easier for them to view.
