Set up an alert when deactivating a user that still has follow-ups due
I was trying to reassign a submission and the follow-up to a different user - I was able to reassign the submission, but kept getting an error message when trying to reassign the follow-up. As I was about to send a "Help" email, it occurred to me that the user might be deactivated, so I checked. Sure enough, that was the case. I had to reactivate the user to reassign the follow-up and then go back and deactivate the user again. So, my suggestions are:
1) An alert when a user is being deactivated if that user has any submissions or follow-ups assigned to them. We may go ahead and deactivate, but at least we've been warned.
2) Something on the screen that lets us know who has been deactivated. I understand the logic of keeping the names on the list of contacts, but give us a way to know the user has been deactivated. Maybe a D in parenthesis beside the person's name?

Hi Mary,
No worries about re-posting to this ... we want to make sure we get it right, and I appreciate the feedback. I had our QA guy and a developer look at this and they believe it's working as designed. Is there a user in your site they could try it with? Or could you do some screenshots with the user you are deactivating, the alert message you get, etc.?
I believe we always put up a message when you are deactivating a user ... but it should not always be the "this user still has forms assigned" message.
Thanks

Hi Chris,
Sorry to go back to this old post, but I just reassigned all open follow-ups for some grants and then clicke deactivate for the user that's no longer there. I got the "this user still has forms assigned" message, which is great, but those follow-ups that were assigned to that user were complete. Any way we could have that message pop up only when there is an open follow-up assigned to someone we're about to deactivate. I went through all of the applications in the organization because I thought I'd missed something.posted March 27, 2013 by Mary Nicosia, GMA Foundations

Hi Mara and Mary,
The 3.3.0 release is now in our DEMO environment - it includes a change to address suggestion #1 above. When you are deactivating a user, you'll get a warning if that user has any submissions or follow-ups assigned to them.
3.3.0 should be in production in the next 7-10 days.
Thanks again for the suggestions

Hi Chris,
on point #2, I think you have addressed the problem with your new release - where diactivated users are listed separately from active users. Prior to the new release it was not obvious if a user was active or deactive.

Hi Mara and Mary,
Thanks for the suggestion. I understand point #1 - the alert - and we'll consider that. It's not terribly difficult from a technical perspective, but we'll have to look at the message we display now when deactivating a user to ensure that additional text does not get lost.
In regard to point #2 ... i'm not sure what you mean by "the screen." In the future, if possible, it would be nice to have the actual URL of the page so we can make sure we're referring to the same thing. I'm guessing that you mean where the follow-up is listed? In our upcoming release (3.2.0) which we expect to be out in the next 6-12 days, we will not be showing deactivated users in the list of potential assignees for a follow-up. If the current assigne of the follow-up is deactivated, they will show up. Will that be a help?
Thanks in advance for your feedback. All my best for a happy and healthy 2013
