Reports Beta!: Follow Up Reports?
I would like to see "Follow Ups" as an available data source within Reports Beta.

Hi Kathryn,
I don't think you missed the "Granted Date" in data export of Follow Ups. We can look at adding it at some point in the next few releases. It's something that will either be pretty straightforward or very hard, so we'll have to do some investigation to know for sure.

Hi Chris,
After learning at the Summit how to use Export Data to Mail Merge, I'm more inclined to use that function to create our Grant Reports for our donors because it includes the Form Fields.
Might it be possible to include "Granted Date" in Export Data for Follow Ups? Maybe I've missed it.

Hi McAllister,
Thanks for the input. At this point, we don't have meeting functionaly built into the system (i.e. to capture schedule meetings, attendees, or relevant meeting deliverables). This information could potentially be questions you have on a Follow Up form, and then you could get this information from Data Export in the form of responses to questions, but it's probably something you want to talk to client services about to determine some of the best ways of accomplishing this.

I"m going to jump into this conversation [with a huge caveat ... we are in the planning stage and have not gone live yet. One of the things we are working on is the list of reports that we will need.] Below I have listed a draft of what we think we will need. Note, that I have not sufficiently reviewed Reports Beta to know how that aligns with what we need. The text in brackets are what I will call field names for the purposes of the report. This may or may not be helpful to the conversation.
Grantee Follow-up (meetings and deliverables)
Meetings that are scheduled over a period of time. [date of meeting, time of meeting, organization, project, type of meeting]. Comment: it would be great if we could indicate that if there is an associated deliverable, has the deliverable been submitted. Meetings that are not scheduled for active grants and need to be. [tbd, list required grantee deliverables and indicate if completed]Meetings and associated deliverables over a period of time. [organization, project, date of meeting, deliverable type, deliverable due date, deliverable submission date]

Thanks for you feedback. As you've had some time to look at the "due date" in the Follow Up data source in Data Export, I'm assuming you still think a "standard" follow-up report would be useful, correct?
As we consider this going forward, can you provide fields you would absolutely want on a standard follow-up report? Before we spend too much time thinking about this internally, I'd like to at least make sure we have your input. I'm guessing there are only a handful of critical fields, but some verification would be great.

Thanks from us as well! That will help in preparing the reports.
I also prefer the standard report - we are hoping to be able to pull out a list of upcoming Reviews that we can sort by Process. I'll delve into Export Data later this week - hopefully our internet will be a bit more stable. Air Conditioning and electricity should never be taken for granted!

Hi Chris,
Thank you for adding the "due date" to the "Follow Up" data source. It's a big help to us.
For your reporting options, I think the first option would work for us (the standard report with just the fixed data). I only need the custom fields for an export that I merge into a Word document. It is similar to the format we are used to.
The Follow Up analysis grid sounds interesting, but I'm not sure what it would look like. Because the data we collect is not numeric, I'm not interested in running totals on anything.

First, in Data Export, we recently added the column "Due Date" to the "Follow Up" data source. Does that help you, Kathryn?
Second, we have discussed a couple approaches to dealing with Follow Ups in Reports Beta. One approach would be a "standard" report for Follow Ups, but one of the challenges with this is that we could just put "fixed" data on it (Process Name, Follow up Form Name, Contact Information, Due Date, etc.) and not report field data. A second approach - creating a Follow Up analysis grid - would probably offer more flexibility. In general, due to the high degree of customization that most foundations use in terms of data they collect, it's challenging to do any "standard" reports that are really useful. What are your thoughts on the 2 approaches?

We can filter on the Process Status "FollowUpDraft" to show all scheduled FollowUps. Is there a way to create a report that shows the Due Dates of Follow-Ups across all our processes?
