Batch Processing Capabilities in Various Areas of GLM
Batch processing allows administrators to select a group of requests and perform an action against those selected requests.
Proposed batch processing options:
Denying grant requestsAssigning evaluators to grant requestsAssigning follow-ups to grantsClosing (archiving) grants

Hi Chuck,
Thanks for pointing out that these links aren't working. I'm guessing that when we migrated our data from our old "Idea Lab" to this one that the links broke.
If you do a search for "Batch" you should be able to see most of the ideas out there that are on this topic.
In terms of the batch functionality that Mark mentions in his post, we've not taken any action yet. I'd say that batch print packets are a likely candidate (along with batch payments) for our next implementation(s) of batch functionality, but given our current focus on improving the user interface (in part a prerequisite for a lot of things we'd like to do), that will be a ways off.

Everyone,
It has been a while since we have updated this post so here is status check:
Batch Deny and Batch Close have been released and are currently available. We continue to work on other ways to reduce workload and keystrokes for our users. Batch Evaluation Assign and Batch Emails' design specifications have been built and are part of the development queue but are not currently being worked on for the next release
Batch Approve and Batch Print have been suggested and we are currently looking at the technical requirements and work flow considerations reagarding these prior to developing product specifications for these functions.

Hi, I would like to add a request for a batch Print Packet option to this thread. We have some Board members who still request printed packets, plus we keep a paper filing system here at the office as back-up, and it would be a time-saver to be able to select a group of proposals and generate print packets for all of them at once. After talking to Ron Katz in more detail about his needs regarding assigning evaluations to evaluators in bulk, we identified a way that we could solve the problem for organizations similar to his.
Here is the scenario:
As applications come into GLM they are verified complete but are not immediately assigned to evaluators for review and are queued in the Applications Complete stage of GLM.
He could then tag or check 10 to 20 of the applications in the Applications Complete group and choose from a list of evaluators and assign all of the selected applications to that group of evaluators.
Would this be helpful to others? Are there other ideas or scenarios that we need to consider? Please provide confirmation that this would work for your organization or ideas of what else we need to consider.

I may be a little confused in what you mean by batch processing. I assumed this meant we could take all or selected applications in a specific process, after all were complete, and assign them to specific evaluators. If this is not clear, maybe we should have a conversation so you are clear about what I'm suggesting.

We hear the request to assign to evaluators using a batch process from our community foundation, scholarship and now United Ways clients. The question is: how do we do this without eliminating the check in process for the applications? It doesn't do any good to assign an evaluation to a volunteer evaluator if it is incomplete or a poor fit. We don't want to fix one problem to cause a new one.
If you have an idea of how we could do this, can you describe the workflow you would like to see that would best save your staffs' and evaluators' time?

While all of the batch capabilities listed would be desirable, the one that would be most helpful to us is assigning evaluators to grant requests. We had over 100 applications, and assigning evaluators to each application was pretty cumbersome.

Yes, it would be nice to have the batch email feature or group select feature for emails. If there is such a feature already, I am not aware of it. The intent is not to decrease paper use...although that is a good thing. There are just some things we email (surveys, reminders, etc.) and would like to able to send out a quick email to all the applicants in a certain process.

Thank you for commenting Erin! May I ask you to expand on your explanation a bit? Do you mean that you would like to see the batch communication ability apply to e-mails as well so you didn't have to use paper? Perhaps including the mail merge concept with them? This is absolutely the next logical step in this area. I'd love to hear more. Thank you!

We use the mail merge feature and print out grant agreements and decline letters. Batch emails are sent out too, Staff spent a lot of time sending out paper invite and decline letters yesterday. A batch processing feature would be appreciated.
