Restricting evaluator access to uploaded documents and reporting fields
When we implemented the 3rd party recommendation functionality in 4.0.0 (November 2013), some of the input we considered came from the Idea Lab item titled " https://community.foundant.com/foundant/topics/recommendation_letter_upload ."
Within that item were a couple other ideas, one of which can be summarized as "restricting evaluator access to uploaded documents and reporting fields". The specific comment from Felicia Roeser (Pedrozzi Scholarship Foundation) is:The Pedrozzi Scholarship Foundation could save a lot of time with reference letters that we receive from all of the emails we have to generate to request them for the applicant if you provided a feature like Don described. The only MAJOR problem that we would have is that we would do not allow our reviewers to see the reference letters as our process is anonymous and our reviewers ONLY evaluate the applicant essays, activities etc. So as much as this feature would be awesome for myself as the administrator, it would not be a benefit if our reviewers had access to uploaded documents. We could really use two features. One feature where we could select if uploaded documents could be seen by reviewers and another feature that would allow our reporting fields to be limited to our administrator. It has been a real challenge to work around the fact that we don't allow our reviewers to know who the applicants are and the fact that they can see uploaded documents or reporting fields that can give away other information about the applicant has been tough. While I can understand the challenge caused by the lack of this functionality within GLM, adding it is not currently a priority item for us. It has some pretty significant implications, but I'd appreciate hearing what other users had to say about this type of functionality.

Hello, I know Foundant implemented the "Applicant Only" feature to its visibility enabling us to control what the evaluators see, but in order for our Reviewers to click on the process, it is labeled by the student name. How are others keeping the evaluation process anonymous?

YES! Right now we use merge templates for the panel - we only send them a fraction of the documents and information we receive in each application. We no longer give evaluators access to the system to avoid confusing them or wasting their time on an excess of data. If we could restrict what evaluators could see, we would dispense with the time consuming merge templates (especially since they can't be done in batch) and start using the evaluations again.

Hello-
We would certainly use this functionality on a regular basis. We are currently hiring Foundant to create customized Print Packets for exactly this reason- there is one confidential document that evaluators cannot see, but the document must be kept with the application. We, at the Foundation must also reference the document.
