Envelopes and other changes to yearly tax receipts
The receipting system is rife with problems. For one, donor acknowledgments or thank you are called tax receipts. The yearly contribution statement outlining all of the donors giving activity is also called a tax receipt. This naming convention was a challenge in a recent support request when I wanted to generate envelopes for the yearly tax receipt. The customer support individual was entirely unaware of the two entirely separate processes. I would encourage you to change the naming convention of these two workflows. I suggest changing tax receipts to "Gift Acknowledgements" and the yearly tax receipt to "Contribution Statement." This would help to eliminate the confusion and also utilize the naming conventions most often seen in other donor management systems.
The yearly tax statement formatting is entirely too rigid and the fields are hardcoded and can't be changed. Unlike, the single gift occurrence tax receipt which can display the deductible and non-deductible portion. The yearly tax receipt will not allow these fields to be utilized on displaying ((amount)). Not only is this confusing, but I also found numerous occurrences where the ((amount)) field displayed internal grant amounts. This generated data on the report that was not valid for the given tax year. In one case a donor had not made any new gifts during the tax year but was credited with nearly $10,000 in deductible contributions for internal grants they had made to the foundation.
Suggest editing so that ((totaldeductibleandnondeductible)) and ((totalnondeductible) can be displayed on the statement in the same way as it can be on the single gift tax receipt.
This will eliminate the confusion on the deductible and nondeductible amounts as well as eliminate the potential for the internal grants being recorded as contributions.
Envelopes should be generated as part of the mail workflow. Having to write a separate report is cumbersome and while I was able to most donors information to display the sort order was different which leads to staff time matching statements to envelopes.
