Funds: Ability to archive fund groups, subgroups, division, segments
I'm putting this under the "Funds" category but it would be equally useful on many other objects.
When we first migrated to CSuite from a different accounting system, it was recommended that we keep our old funding structure in place, and only change it once we had time to get used to the system.
That worked well in most respects. Now that we have been using CSuite for about a year, we finally undertook the project to reorganize the way we code our fund records. This means we have all new values in Fund Group, Fund SubGroup, Fund Division, and Fund Segment.
We have completed the transition of reclassifying all of our open Funds to the new categories. But, because the old categories were in use for many years, we have Closed funds that still use the old values. Because of this, we can't just delete the old values from those picklists.
This causes confusion for people when they're creating new Fund records. The picklists for Fund Group, SubGroup, Segment, and Division are all more than twice as long as they need to be, making it harder for people to easily pick the value they're looking for.
I've worked in other systems that allow you to keep old picklist values, but deactivate or hide them from current use. This allows for much cleaner data across the board.
In my attached example you can see our Fund Group picklist as it currently stands. We've put "not in use" at the beginning of each old Group name, and moved them all to the bottom, but the list is just too long to allow users to easily glance at it and pick the correct value, and it also leads to user error where people still select one of the "not in use" values because they're so accustomed to the old values and their eyes just skip over the "not in use" label.
