December 2023 Theme Release Feedback

On December 6th, 2023 we updated the theme/general styling of GLM/SLM. Thank you for the feedback. I want to check in around your comments with fonts are there specific pages you are noticing the font to be an issue as we have introduced two new fonts so I want to make sure as we review the changes we want to make sure we are updating the correct fonts.

Blind Review
In SLM evaluations, you are only able to add two custom columns to the user dashboard and are required to keep applicant first and last name.
Our foundation uses blind review to align with our DEI initiative. When following blind review, the applicant first and last name appear as [HIDDEN] (see screenshot) and are unable to be removed. Our reviewers have given feedback that they would like the opportunity to have those be optional columns so that they are able to pull in more relevant information like high school attended, major, GPA, etc.

Move Save Summary button above process description
After more than 6 years at Foundant, I still forget to click Save Summary when editing process summary bc it is usually out of my line of sight. Clients do this all the time. Moving it into line of vision would really help people not lose changes.

Include fields from Approval form in Edit Columns on Payment Tracking screen
We carry information on our Approval form that is relevant to payments. I would guess this is true for many of your users. I'd like the ability to add a column from our Approval form to the Payment Tracking list; specifically, the agreement type - we need to know if a grant was made under expenditure responsibility before making a payment. We can go look, but it would help prevent errors in our process if the information was right there.

Make "Next Pending Application" button stay in the same scholarship process
Students can apply for multiple scholarship opportunities with our UA. If an evaluator saves an evaluation and clicks "next pending," the system takes them to the first scholarship opportunity the student applied for, which isn't the opportunity the evaluator was trying to read. This makes the "next pending" button basically useless. We would like a way to adjust this feature to stay within the same process.

Assign a Scholarship Fund
SLM/Scholarship Processing:
The way our current universal application functions is that when we go in to award scholarships to our students, we have to find their application for that specific scholarship opportunity. From there, we can award x amount of money to that student, from that fund.
This can be tedious and can cause the system to load slowly, as we have over 4000 applications loading at a time, one for each scholarship opportunity match.
I would love it if we could implement something like a dropdown or similar feature, where I can select a student and then assign them…

Copy functionality
We have over 50 applicant processes, rather then make 1:All other processes that have Copy functionality enabled, could we have a group by function with the Copy Functionality?
IE Process 1 - 10 are of one group and they can copy between each other then 11-15 are of another group and they can copy between each process.3 votes -
Move processes turned off to another collapsible menu
We have many processes while only 5 or so are toggled on at a time. The others are either not ready to be archived, or not ready to be toggled on. It would clean up the page to have a third collapsable menu with all the processes that are inactive.

Include "Automatic" in rich text font color options
I have added color coding in my ad-hoc email templates (those that aren't assigned to a particular event) to alert me to those parts that I need to customize. Sometimes it's simply to alert me to either keep or delete a section of text, and I'll have that whole section's font set to red. If I want to keep the text for the particular email, I select the text and click on the Text Color option in the rich text formatting menu. I'd like to simply revert the text to the system default, but that's not an option. I must…

Only Show Custom Columns Options for Selected Process(es)
I noticed that when selecting custom columns available application, follow-up, etc. form shows up when selecting them, even if you only have one process selected. It would be more useful to only display the application, follow-ups, etc. that are associated with that particular process when selecting fields for custom columns.
Let's say, for example, that you want to review final reports from one process. I notice that when you use this feature and setup custom columns, every

Make idea lab text box larger
The describe your idea box is quite small and can only accommodate a few sentences. This text box makes it difficult when trying to think through larger more complex ideas to have to scroll up and down. It often results in mistakes and unclear thoughts.

Tie Applications and Follow Up Forms to Process
It would be helpful to be able to see all applications and follow-up forms tied to a process.
Right now when I'm looking up all applications for each process I have to remember who applied, then go to their organization's profile.
If applications and follow-up forms were tied to a process, it would be easier to look up who applied for what "cycle."

Set and hold the default for forms to be collapsed rather than expanded. Only expand when the user asks to display or when they tab/navigate from the end of one section to another. Having forms fully expanded makes navigation a nuisance for both applicants and admins working to design and modify forms, particularly when they are lengthy. Evaluators experience the same when reviewing applications. The current experience is clunky and frustrating.

Allow Adding Custom Columns to All Pages - Especially Organization Summary
The Organization Summary Page currently shows Status, Amount Grant, and Amount Paid. It does not allow us to readily see which of our Program Staff a grant is assigned to. As we award multiple grants to one specific organization and oftentimes, those grants are assigned to different Program Staff in our office, it would be wonderful to see at a glance, which PS person a grant is assigned to. Add sorting function to Merge Templates
Would it be possible to add a sorting feature to merge templates? We use 45-50 different merge templates, and to keep things organized, we group them by kind: Announcement Letters, Award Letters, Quarterly payment letters, etc. Currently, when we need to upload an additional template it is just added at the bottom of the list. A sorting feature would help us move that last added new template to others like it in the list. What Grantees see when their LOI has been Abandoned
We have just discovered that LOIs that are abandoned show up to applicants as LOI Decision Undecided. I think this is not only incorrect but also confusing to applicants. It's not unusual for applicants to start two LOIs by accident. Unfortunately, when the organization then goes in to work on the application, they are confused because the dashboard indicates in one area that the Foundation has not made a decision about their LOI. I think that if LOIs or Applications are abandoned that the applicant's dashboard should indicate the LOI / applications was never completed and or abandoned.

Deleting a Request - direct back to Organization Summary
I'd like to request that after a request is deleted, that we not be directed back to the dashboard.
I have needed to delete several requests under an organization profile as the applicant has created more than one draft that they were not planning to use, and they wanted to clean up their history (which we encourage also). It is a little finicky to be directed back to the Dashboard if you are doing more than one deletion, or you planned to do some other clean up on the organization or make a note of the request to delete files…

Would anyone else like to see Declined grants in the Dashboard?
I love the quick Dashboard view to see what has been submitted, granted, etc. but would also like the same info at a glance for the number grants which have been declined. There doesn't seem to a be a "one click" way to view this info.

Move Enter Grant Tab to top of section
I really like the new feature where an organization's grants are listed chronologically (most recent on top). What I would find really helpful would be to move the tab for "Enter Grant" to the top of the section so I don't have to scroll down to the bottom to enter a new grant. I also think that perhaps the tab should be moved to the right of the page like the view, edit and delete buttons.

Payment Screen Charity Check
Would it be possible to add a Guidestar Charity check button on the payment screen in the area by the payment amount? This would be helpful in making sure the charity check was done before making the payment. In the past I have forgotten to do this at the time of making payment, a button here would help if it is possible.
