Docusign integration
As a result of COVID19, we have decided to use Docusign to get our Grant Agreements signed and returned to us. I notice other systems have an integration with Docusign. Is this on the radar for Foundant?

Hi Frances,
In DocuSign, you can assign multiple signers and/or set an order for them to sign. In other words, two people are sent a document to sign, or you can set it so that one person signs first and then it goes to the second for a secondary signature.
You can also give the recipient the ability to "re-assign" the document to another person if they are not the correct signatory.

I agree with all of the suggested uses and we would use it also if it was available. However the point about having a second/different person to sign is an important issue. We often find that the individual completing the form is not a signing authority for the organization and signing off on Grant Agreements/any document becomes difficult when only one person is assigned to each request. The ability to send a document on for signing within the request or to have a 2nd assigned individual will be necessary for this integration to work smoothly. And yes, I would want to see the DocuSign document generated within the system with the final signed document visible within the system also.

This would be very helpful for grant agreements and also the following internal documents: trustee conflict of interest disclosure and trustee responsibilities acknowledgement.
One challenge I see with Docusign grant agreements is if the grantee's signatory is not the contact person who has been managing the application. Can the contact person reassign the docusign, or does the funder need to first collect the information about who the signatory is (during the application process or award notification process). It would be nice to not add more steps to the award process.

W-9'sI've found the grantee response time, therefore the turn around time to get grants out the door, to be much faster when using DocuSign rather than Foundant followups. Folks have the ease of receiving a direct link in their email that takes them to their DocuSign packet. DocuSign is also very mobile friendly.
We used to collect the three forms via three different methods. Foudant for grant agreements, bill.com for ACH enrollment, and email for W-9s. Docusign has streamlined that process for us.
I also prefer the look of a PDF signed document as the grant agreement rather than a followup packet.

This would be really useful to us as we've started using DocuSign much more frequently since the pandemic started. We primarily use DocuSign for grant agreements, but we've also started using it to collect the banking information for wire transfers.

Not only could we use Docusign for grant agreements, but we could also use them for our copyright forms signatures. Right now, each applicant has to get the signatures of their team which would consist of 2-10 people. Then they have to send me the signed form. I then have to check that each person that was included on the application has signed the copyright form, then I upload it into the software program, market that the copyright form is complete. After this, I have to send the signed copyright forms to our Journal along with the abstracts. So, if we had DocuSign, and the forms could automatically go to the authors for signatures, it would defiantly make our lives easier.

Grant agreements are the only use we're thinking of. The integration you describe sounds good, although I hope there is away for the followup to be assigned to a different person than the person who has to DocuSign.

Currently, we have to add each email to Docusign individually, and then upload each Grant Agreement to be signed. We were hoping there would be something like: "Send to Docusign" so the recipient's name and email would populate with the Grant Agreement into Docusign. Then we just send the Agreements to be signed from Docusign.
When we get notification that they are signed, we download them from Docusign and then upload the signed agreement into the Grant in Foundant. We are doing 300+ at a time, so the integration would be a huge time-saver.
